Your GST Registration Documents Checklist: Organised by Business Type

The single most common reason GST applications get stuck is a document problem. A name on the PAN that does not match the application. An electricity bill that is three months old instead of two. Before you open the GST portal, know exactly what documents are required for GST registration based on your specific business type. Documents Every Applicant Needs, Regardless of Business Type

Start here. These are required across all business structures:

PAN Card

  • For companies, LLPs, and firms: PAN of the business entity
  • For sole proprietorships: the proprietor’s personal PAN serves as the business PAN

Proof of Business Address Submit one of the following for your principal place of business:

  • Electricity bill (must not be older than 2 months)
  • Municipal property tax receipt
  • Legal ownership document (sale deed)
  • Rent or lease agreement plus a No Objection Certificate (NOC) from the property owner

Passport-Size Photograph Recent photograph of the applicant or authorised signatory

Bank Account Proof Submit one of the following:

  • Cancelled cheque showing the account number, IFSC code, and account holder name
  • Bank statement (not older than 3 months)
  • First page of bank passbook

Authorised Signatory Details

  • Full name, designation, PAN, and Aadhaar of the authorised signatory
  • Aadhaar must be linked to the signatory’s mobile number for OTP-based authentication

GST Registration Documents by Business Type

Sole Proprietorship

A sole proprietorship is the simplest structure. Documents required:

  • PAN card of the proprietor
  • Aadhaar card of the proprietor
  • Passport-size photograph
  • Proof of business address
  • Cancelled cheque or bank statement in the proprietor’s name

Since a proprietorship has no separate legal identity, all documents are in the individual’s name.

Partnership Firm

For a registered or unregistered partnership, you need:

  • PAN card of the firm
  • Partnership deed (original or certified copy)
  • PAN cards of all partners
  • Photographs of all partners
  • Proof of principal place of business
  • Bank account details in the firm’s name

Limited Liability Partnership (LLP)

An LLP is a separate legal entity, so company-level documents are required alongside individual partner details:

  • PAN card of the LLP
  • Certificate of Incorporation issued by MCA
  • LLP Agreement
  • PAN cards of all designated partners
  • Photographs of designated partners
  • Proof of registered office address
  • Bank account statement or cancelled cheque in the LLP’s name

Private Limited Company

This structure requires the most documentation:

  • PAN card of the company
  • Certificate of Incorporation (issued by MCA under SPICe+)
  • Memorandum of Association (MOA)
  • Articles of Association (AOA)
  • Board resolution authorising the signatory to apply for GST
  • PAN cards of all directors
  • Photographs of all directors
  • Proof of registered office address
  • Bank account details of the company

The board resolution must specifically authorise a named individual to sign and submit the GST application on behalf of the company.

Hindu Undivided Family (HUF)

Trust, Society, or Club

  • PAN card of the trust or society
  • Registration certificate (issued by the registering authority)
  • Trust deed, bye-laws, or constitution document
  • PAN cards and photographs of trustees or governing committee members
  • Proof of registered office address
  • Bank account details of the entity

Documents for Additional Places of Business

If your business operates from more than one location within the same state, register each location as an additional place of business under your primary GSTIN. For each additional location, provide:

  • Proof of address (electricity bill, ownership document, or rent agreement)
  • NOC from the property owner if the premises is rented or leased

If your business has offices or warehouses in multiple states, a separate GSTIN is mandatory for each state. A full set of documents is required for each state’s registration.

Documents Required When Applying as a Foreign National

For foreign nationals applying as promoters or directors of an Indian entity:

  • Passport (mandatory as identity proof)
  • Overseas address proof: bank statement or government-issued document from the home country
  • All foreign documents must be notarised and apostilled (for countries under the Hague Convention) or notarised and attested by the Indian Embassy (for other countries)

Tips to Avoid Rejection or Delay

Follow these before submitting:

  • Match every name field on the application exactly to how it appears on the PAN card, including punctuation and spacing
  • Ensure your electricity bill or address proof is dated within the past 2 months
  • Use a rented premises? Attach both the rent agreement and the NOC signed by the landlord
  • Scan all documents at a minimum resolution of 100 DPI and ensure they are clearly legible
  • Check that your Aadhaar is linked to your current mobile number before starting the application
  • The bank account provided must be in the registered business name, not a personal account (except for sole proprietorships)
